Job Title: Carolina Museum of the Marine (CMOTM) Non-Profit Finance Manager

Location: 907 Lejeune Blvd. Jacksonville, NC 28540
Type: Part-Time (20 hours per week), Hybrid Remote & On-site
Reports To: Chief Executive Officer
Salary Range: $30 - $35 per hour

 

Position Summary:

The Carolina Museum of the Marine (CMOTM) Non-Profit Finance and Human Resources Manager is a pivotal role responsible for managing the organization’s financial resource strategies to ensure compliance, transparency, and organizational health. Core responsibilities include overseeing budget development, financial reporting, grant accounting, audit preparation, payroll processing. The Finance Manager will work collaboratively with organizational leadership, program directors, managers, and external stakeholders to provide actionable financial insights, supporting informed decision-making and fostering a positive workplace environment.

Key Responsibilities:

1. Financial Planning and Budgeting:

  • Utilize methodologies such as zero-based budgeting and rolling forecasts to develop, manage, and monitor annual organizational budgets and individual program budgets.
  • Develop, manage, and monitor annual organizational budgets and individual program budgets, ensuring alignment with strategic goals and resource availability.
  • Prepare detailed financial forecasts and cash flow projections, incorporating various scenarios to support long-term financial sustainability and strategic planning.
  • Support leadership in strategic planning by conducting in-depth financial analysis, offering scenario-based projections, and providing actionable advice to drive informed decision-making.

2. Accounting and Financial Management:

  • Maintain and oversee day-to-day accounting operations, including accounts payable, accounts receivable, payroll, and general ledger management, ensuring processes are efficient and compliant with organizational standards.
  • Ensure accuracy and integrity of financial records, maintaining compliance with GAAP (Generally Accepted Accounting Principles), organizational policies, and applicable regulatory standards.
  • Process monthly reconciliations for bank accounts, credit cards, and other financial accounts, ensuring timely identification and resolution of discrepancies.

3. Financial Reporting:

  • Prepare and analyze monthly, quarterly, and annual financial reports for leadership and the board of directors.
  • Develop and maintain dashboards or tools to communicate key financial metrics and performance indicators.
  • Assist in preparing financial statements for annual audits.

4. Grant and Fund Management:

  • Manage restricted and unrestricted funding, ensuring proper allocation and tracking of grant and donor funds.
  • Prepare grant budgets, monitor spending, and ensure compliance with funding requirements.
  • Prepare and submit timely grant financial reports to funding agencies.

5. Compliance and Audit Preparation:

  • Ensure compliance with applicable federal, state, and local regulations, including tax filings and nonprofit reporting requirements.
  • Support external auditors by preparing schedules, documentation, and responses to audit inquiries.
  • Maintain internal controls to safeguard organizational assets and prevent fraud.

6. Leadership and Collaboration:

  • Collaborate with program directors and managers to align programmatic goals with financial resources.
  • Present financial updates to leadership, staff, and the board of directors as needed.
  • Provide training and support to staff on financial procedures, budgeting, and grant management.

Qualifications:

  • Education: Bachelor’s degree in accounting, Finance, Business Administration, or a related field required. CPA preferred; equivalent certifications such as CMA (Certified Management Accountant) or CGMA (Chartered Global Management Accountant) will also be considered.
  • Experience: Minimum of 3-5 years of financial management experience, strong preference for experience in the non-profit sector.
  • Working knowledge of GAAP, non-profit accounting standards, and best practices in grant fund management, including tracking, reporting, and compliance.
  • Proficiency in accounting software (e.g., Raiser’s Edge, Financial Edge, QuickBooks, Sage Intacct) and advanced Excel skills.
  • Preparing operational budgets (e.g., annual organizational and program-specific budgets), financial statements (including income statements and balance sheets), and detailed donor/grant reports for compliance and funding purposes.
  • Comprehensive understanding of compliance requirements for 501(c)(3) organizations, including IRS reporting, fundraising regulations, and financial transparency standards.
